job description - Executive Assistant

Minimum requirements:

  • Matric
  • Computer literate
  • Valid driver's license  
  • Own reliable vehicle
  • Access to stable internet 
  • Minimum three years experience as Personal / Executive Assistant
  • Excellent communication skills (verbal and written) in Afrikaans and English

Skills required:

Duties will include:

  • Correspondence with vendors and suppliers
  • Producing payment contracts and invoices
  • Producing purchase orders and sourcing of quotations
  • Assisting staff and Directors with administration duties (applications, orders, etc)
  • Compiling data to prepare presentations, briefs and reports
  • Liaison with bookkeepers (sending of any data they require such as invoices, slips, inventory reports, etc)
  • Compose and prepare letters relating to routine correspondence for the Directors' signature
  • Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate
  • Maintain paper and electronic filing systems
  • Distribution of correspondence, play a key role in the coordination of staff efforts both within and outside the company
  • Help coordinate meetings and calendar management
  • Coordinate travel arrangements (transport and accommodation)
  • Handling of requests and queries from vendors, suppliers, and staff
  • Handling emails and correspondence for Director
  • Running errands
  • Compiling data to prepare papers or presentations
  • Acting as a representative to their assigned executive
  • Handling incoming and outgoing phone calls, emails and correspondence for the executive
  • Draft, review and send communications on behalf of company Directors
  • Keep the Director advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Prioritize emails and respond when necessary
  • Organize the executive’s daily schedule and meetings
  • Maintain various records and documents for company director’s
  • Assist in project management activities and processes including project planning, intake, prioritization, initiation, execution, and training
  • Routinely perform a wide variety of support and administration duties
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material
  • Other additional and / or alternative duties as assigned from time to time, including supporting other departments or Directors as needed
  • Prepare for, attend, and participate in meetings on behalf of the Directors
