job description - Security Assistant

  • The Program Coordinator will oversee the coordination and administration of all aspects of AFRYDEV, including planning, organizing, leading, and controlling programs activities.
  • The program coordinator will provide professional/technical leadership, consultation, and expertise within AFRYDEV program's area of focus, as well as day-to-day management of program's activities and staff. Working collaboratively with the Executive Director, He/She will set strategic direction, develop, and implement work scope related the organization’s operational policies and procedures.
  • Establish partnership, funding, and provide operational planning, budgeting, and assessment. Represents program activities and seek approval of the Executive Director for appropriate use of programmatic funds within the parameters of contracts/grants.

 

Tasks and Responsibilities
Planning:

  • Provide technical leadership and direction to subordinate staff, community stakeholders and beneficiaries within a broadly specified area of professional expertise, in accordance with AFRYDEV’s goals and objectives.
  • Develop new initiatives in accordance with the strategic objectives, mission, and goals of AFRYDEV and provide strategic direction to programs leading to successful outcome.
  • Develop and implement short- and long-term plans, objectives, policies, and operating procedures; monitors and evaluates program/operational effectiveness and effects changes required for improvement in collaboration with the Executive Director.
  • Identify and solicit local, state, federal, and/or international funding sources for interventions in AFRYDEV’s thematic areas.
  • Provide leadership in planning, development, and implementation of strategies and initiatives for generating resources for system strengthening.
  • Write and submitting project proposals to donor organizations inline with the organization strategic plan to ensure continues service delivery in organization’s thematic areas.
  • Participate in the development of annual budget for the organization and performs periodic cost analyses and protections.
  • Develop logical framework to guide project implementation, and ensure the framework is design to assess strengths of all projects and identify areas for improvement.
  • Monitor and manage operational metrics, providing leadership and guidance for corrective actions, organization best practice and performance improvement.
  • Provide supportive supervision to State Program Managers, field Officers and supportive staff, and ensure strong feedback/complain mechanism is established and is accessible to communities and beneficiaries to enhance accountability.

 

Organizing:

  • Ensure that program activities operate within the policies and procedures of AFRYDEV
  • Design and develop tools, recording and filling process to document program activities
  • Participate in review and development of policies and procedures of the organization and provide recommendations for system strengthening to the Board through the Executive Director.
  • Serves as programs principal point for both internal and external constituencies on programs and operational matters pertaining to the mission, goals, objectives, and work scope of the AFRYDEV.
  • Report out on programs to donors and government as assigned by the Executive Director
  • Collaborate with the Executive Director and programs staff to ensure activities align with organizations goals and objectives
  • Ensure that the projects activities operate within the approved budget and in compliance with donor guidelines.
  • Write annual report to documents successes, lessons learn and best practices on programs with technical support of the Executive Director
  • Monitor the programs activities on a regular basis and conduct an annual evaluation according to the project’s evaluation framework.
  • Report evaluation findings to the Executive Director and recommend changes to enhance the programs, as appropriate.

 

Team Management:

  • In consultation with the Executive Director, recruit, interview and select well-qualified program staff, support technically and manage staff on both professional and administrative basis.
  • In consultation with the Executive Director, oversees the functionality of personnel management system, which includes work allocation, training, promotion, enforcement of internal procedures and standards, and problem resolution; evaluates performance and make recommendation for personnel actions; motivate employees to achieve peak productivity and performance.
  • Provides direction and integrative coordination in the planning, development, and implementation of AFRYDEV programs.
  • Oversees all facets of programs activities, ensuring compliance with AFRYDEV’s policies and procedures, and in compliance with donor, state, and federal laws and regulations.
  • Ensure all staff members receive orientation and appropriate trainings
  • Supervise States Program Managers by providing direction, inputs, and feedback on projects performance
  • Communicate with members and other stakeholders to gain community support for the program and to solicit inputs to improve the programs
  • Cultivate existing relationships with donors, government, partners, vendors and community groups, with the goal of ensuring sufficient resources for improve services
  • Create and nurture effective communication within the organization.
  • Build a strong team through open communication and by collaborating the Executive Director on decision-making.

 

Skills required / Qualifications
Specific requirements include:

  • Minimum of a MSc, BSc / BA in relevant field
  • 7 years Background in Humanitarian, Development and Peace building intervention.
  • Experience in team management, development, coaching, and staff retention, empowering team to elevate their levels of responsibility and performance.
  • Experience in Donor funded project such as UN, USAID, EU e.t.c
  • Proficient with technology
  • Excellent verbal and written communication skills with exceptional attention to details
  • Personal qualities of integrity, credibility, and a commitment to and passion for women and youth programs
