job description - Front Desk/Administrative Officer
We are looking for a responsible Front Desk/Administrative Officer (“the Officer”) to perform a variety of administrative and client related tasks. Duties of the Officer include providing support to top management and employees, assisting in daily office needs, managing our company’s general administrative activities and dealing with client related enquiries.
What does a Front Desk/Administrative Officer do?
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Word, PowerPoint, etc and other office equipment. Prior relevant experience is desirable.
Ultimately, a successful Front Desk/Admin Officer should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters and forms
- Manage company social media handles
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports
- Act as the point of contact for clients and non-clients
- Liaise with executive and queries from line managers and the team
Requirements and skills
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and scanners
- Proficiency in MS Office (MS Excel and MS PowerPoint, etc) and social media tools
