- As an Executive Assistant to the Managing Director, you would be required to provide high-level administrative support to the company's executive and ensure the smooth operation of their daily activities.
- Your role will be crucial in maintaining effective communication and organization within the executive team and the broader organization.
Key Responsibilities
- Calendar Management: Schedule meetings, appointments, and manage executive calendars efficiently.
- Communication: Act as a primary point of contact for internal and external stakeholders, handling correspondence and inquiries.
- Travel Coordination: Arrange travel plans, including flights, accommodations, and itineraries for executives.
- Documentation: Prepare reports, presentations, and documents, ensuring accuracy and confidentiality.
- Meeting Support: Attend meetings, take minutes, and follow up on action items.
- Expense Management: Monitor and reconcile expense reports for executives.
- Project Assistance: Assist with special projects, research, and data analysis as needed.
- Confidentiality: Maintain strict confidentiality of sensitive information and company data.
- Office Management: Oversee the organization and maintenance of the executive office.
Qualifications and Skills
- Bachelor's Degree in Business Administration, Management, Secretarial Studies and relevant field. Candidates with a relevant Master Degree is an additional plus.
- 5 - 10 years work experience.
- Proven experience as an executive assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in office software (e.g., MS Office, Google Suite).
- Discretion and the ability to handle confidential information with sensitivity.
- Detail-oriented and capable of multitasking in a fast-paced environment.
- Adaptability and the ability to work independently.
- Excellent problem-solving skills.
- Knowledge of the company's industry and operations is a plus.
Additional Information:
- This role may require occasional overtime and flexibility in working hours to accommodate executive needs.
- Occasional travel may be required.
- The Executive Assistant reports directly to the Managing Director and collaborates closely with other members of the executive team.
