Responsibilities

  • Administrative Support: Provide comprehensive administrative assistance to the Office Manager and other senior staff members. This includes managing calendars, scheduling meetings, handling emails, and preparing documents.
  • Office Organization: Maintain a well-organized and tidy office space, ensuring supplies are stocked, equipment is in working order, and all office facilities are well-maintained.
  • Staff Coordination: Assist in coordinating and communicating with various departments to facilitate interdepartmental cooperation and ensure seamless collaboration.
  • Record-Keeping: Maintain accurate records, files, and databases to track important information, invoices, and documents.
  • Event Planning: Assist in planning and organizing company events, meetings, and conferences.
  • Communication: Serve as a point of contact for both internal and external inquiries, displaying a professional and friendly demeanor.
  • Finance Support: Collaborate with the finance team to handle basic financial tasks, such as expense reporting, budget tracking, and processing invoices.
  • Human Resources: Aid in HR-related tasks, including onboarding new employees, managing leave requests, and maintaining employee records.

Requirements

  • Bachelor's Degree in Business Administration or a related field (preferred but not mandatory).
  • Proven experience in an administrative or office management role.
  • Strong organizational and time management skills.
  • Proficiency in using office software, such as MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication abilities.
  • Ability to multitask and prioritize responsibilities effectively.
  • Attention to detail and a proactive problem-solving approach.
  • Familiarity with basic financial and human resources tasks is a plus.
